Accounts Payable and Escrow Manager

Accounts Payable Duties and Responsibilities

Supervise one Senior Accounts Payable Coordinator, including training and evaluating to enhance / address their performance, development, and work product;

Maintain vendor master file; 

Attain proficiency in all aspects of the Wells Fargo online banking system;

Develop, implement and maintain systems, procedures and policies, including accounts payable functions to ensure adherence to company guidelines, including implementation of Aderant workflow for vendor invoice submission and employee expense reimbursement;

Ensure compliance with firm policies with respect to submission of documents to support payment of vendor invoices;

Accurately code, enter and pay, on a timely basis, vendor invoices either by check or by wire transfer; allocate appropriate workload to Senior Accounts Payable Coordinator;

Prepare, distribute and ensure appropriate submission of Forms 1099;

Pay employee expenses by ACH, generally semi-monthly;

Monitor positive pay file daily, and communicate timely with bank to handle exceptions;

Coordinate the opening of new bank accounts and prepare / obtain all documentation,as required.

Escrow Duties and Responsibilities

Full responsibility for ensuring compliance with firm policies and state bar rules;

Distribute, receive and ensure that internal forms and supporting documentation are sufficient to provide audit trail for transactions;

Accurately prepare wire transfer letters, obtain firm authorization / signatures, and send letters to bank;

Upon receipt of sufficient documentation, write escrow checks; maintain copies and files; obtain signatures and distribute checks;

Accurately record all escrow transactions;

Open and close escrow subaccounts as required.

Implement the Aderant Expert trust accounting module.

Basic Qualifications

Strong work ethic and sense of job ownership;

Bachelor's degree or equivalent combination of education and experience;

Five or more years of accounts payable experience, two of which must be in a supervisory role;

Two or more years of full escrow responsibility;

Fluency with Aderant Expert, Elite 3E or similar system;

Strong personal computer and business solutions software skills;

Strong communication and presentation skills for communicating with support personnel and management;

Strong analytical and problem solving skills;

Good planning and organizational skills to balance and prioritize work.

Direct Reports:


Prepare invoices and follow-up with billing attorneys; proofreading and mailing of
final invoices

Electronic billing using various platforms

Maintenance of client/matter billing information and intake documentation

Assist paralegals with the preparation of filings of memorandum of costs/fee applications

Research, analyze and reconcile accounts in accordance with internal and external client inquiries or as directed

Retrieval of disbursement documentation as required or as requested

Respond to audit letters with appropriate historical financial information and provide supporting documentation as necessary

Maintenance of bill and adjustment batches

Other duties as assigned

Qualifications and Experience:

Experience in the editing of prebills, including but not limited to narrative changes, divides and transfers and global modifications

Bachelor's Degree in related field and/or Minimum of 3 years of professional services billing in the legal industry, including
at least two years of electronic billing experience

Proficiency in Aderant Expert (strongly preferred) or Elite Enterprise software

Proficiency in Excel and Word software

Strong written and verbal communication skills are essential


Benefits and Human Resources Coordinator

Reports to: HR Manager

Main point of contact for general HR, payroll inquiries and act as subject matter expert on all health and welfare benefits needs across the organization by looking at trends and employee experience.

Administer benefit programs by reviewing and processing enrollments, qualifying life events, on, off boarding for medical, dental, vision, life insurance and ancillary benefits; coordinate, and process grandfathered retiree and long-term care benefits.

Assist individuals who have claim problems by answering their questions and contacting the insurance broker, explaining courses of action, and keeping detailed records of communications/transactions.

Collaborate with designated broker to create effective internal communications and seminars to improve understanding of benefit plans.

Perform benefit audits and periodic plan reviews.

Manages leaves of absence programs and employee communications related to FMLA, STD, LTD, PTO state specific PFL, company specific leaves, ADA and Workers’ Comp.

Manage 401(k) eligibility, data integrity, funding and compliance including the annual audits and 5500s.

Work with TPA to administer COBRA benefit programs including employee updates and distribution of required annual notices.

Reconcile and audit benefits plan enrollments, system setup, payroll deductions and vendor billing on a monthly basis.

Maintain and update HRIS system including identifying systematic issues and resolutions for onboarding, benefits plans, time and attendance, employee records and payroll functions.

Manage the receipt of, review, and upload of weekly benefits files for processing in Paycor; monitor and resolve issues related to all carrier feeds within benefits program.

Lead on implementation of carrier feeds for Section 125 plans with Paycor.

Lead in new hire orientations, processing E-Verify employment verifications, maintain I-9 records, personnel records, training on employee self-service tools, benefit orientations and required compliance trainings.

Monitor employee coverage changes, including qualifying life events, to ensure eligibility, accuracy, and validity.
