Paralegals are hired at both entry and experienced levels and are hired for either the firm's Corporate or Litigation Departments. Entry-level paralegals are trained in-house and are also mentored by the firm's senior paralegal staff. ACCOUNTS PAYABLE / RECEIVABLE COORDINATOR

Duties / Responsibilities:

Accounts Payable

Accounts Receivable

  • Become familiar with expenses and vendors
  • Review invoices for appropriate approvals before payment
  • Accurately record invoices and expenses
  • Research and resolve invoice errors
  • Complete vendor payments (both manual checks and electronic payments)
  • Control expenses by receiving, processing, verifying, and reconciling invoices Code disbursements
  • Verify vendor accounts by reconciling monthly statements and related transactions
  • Record manual checks for the Firm’s seven US offices
  • Maintain seamless accounts
  • Responsible for importing electronic files for PSSHIP/FedEx files; Paying weekly invoices
  • Provide status and copies of cashed checks or backup as requested
  • Scanning /Filing vendor checks, manual checks, Cash receipts, wires, ACH backup, matter intake forms

CASH RELATED

  • Record cash receipts (checks and wires)
  • Deposit checks into appropriate bank accounts using the scanner
  • Reallocate cash amongst matters as directed
  • Process accounts receivable write-offs
  • Prepare and distribute end-of-day billing and cash status report to the shareholders


GENERAL ACCOUNTING

Assist Senior Staff Accountant with tasks:

  • GL account analysis
  • Marketing analysis
  • Selected bank reconciliations
  • Report on all cash account balances (once weekly and backup)

ADMINISTRATIVE TASKS

  • Obtain second signature on checks over 5k
  • Mail checks and related vouchers

The Role :

We seek a Part Time Librarian who, reporting to the Manager of ILSS, will undertake administrative tasks, library support, research, and billable tasks.

Duties / Responsibilities:

  • Maintain all online research platforms.
  • Schedule all Westlaw/Orbis/Mergent/WK VitalLaw/Law360/ALM and CLE Training Programs.
  • Review and prepare Library Invoices for approval.
  • Coordinate all attorney requests for new print publications and on-line resources.
  • Recommend cost reductions of Library content.
  • Maintain all library magazine/newspaper subscriptions.
  • Obtaining resources from third parties (books, treatises, and articles).
  • Library print and e-book intake (on EOS/SirsiDynix).
  • Create and set up Alerts for certain attorneys and paralegals.
  • Monitor online resources for AK Practice Areas.
  • Provide research services for attorneys and staff as needed.

Qualifications / Experience :

  • MLS from an ALA accredited program preferred. Current graduate library science students are encouraged to apply.
  • Knowledge of print and electronic legal information sources.
  • Ability to work independently.
  • Detail-oriented.
  • Preferred experience providing service in a law firm environment.
  • Strong written and verbal communication skills.
  • Ability to communicate and work effectively with vendors.
  • Ability to communicate effectively with attorneys, staff, and team members regarding commitments, deadlines, challenges, requests, etc.

AK staff currently work in the office three days per week. This position is part-time in-office for 14-19 hours per week.

Pay: $28.00-30.00 per hour, depending on experience

Duties / Responsibilities:

  • Support attorneys in all domestic AK offices.
  • Prepare firm-wide, bi-weekly calendar with deadlines provided to Managing Clerk’s Office by courts and attorneys.
  • Oversee and maintain the firm’s MA 3000 docket and calendar system to ensure deadlines are entered correctly.
  • Liaise with court personnel.
  • Expertly field all questions re: docketing, court rules and procedures, legal proceedings, and case trial activity.
  • Advises attorneys and their admins are notified of filing deadlines and court appearances.
  • Physically and electronically file, serve and retrieve court documents.
  • Process both paper and electronic court documents.
  • Handle all administrative duties for attorneys, such as prepare legal documents for trial.
  • Perform legal research.
  • Provide legal reports to all attorneys.
  • Disseminate new rules and regulations for cities and states in all relevant jurisdictions, as well as Federal Courts.
  • Update and maintain login credentials for courts with e-filing privileges.
  • Update and maintain contact list for courts and process serving vendors.
  • Coordinate with and train staff paralegal to be a reliable back-up when the Managing Clerk is out of the office.

  • Thorough Knowledge of Pacer, ELaw, & Court Alerts.
  • Demonstrated familiarity with New York Civil Practice Law & Rules and Federal Rules of Civil Procedure.
